Introduction

"HR Recruitment Backend System" is a comprehensive platform specifically designed to streamline the hiring process and boost efficiency for HR departments. With this system, users can easily manage job postings, collect and filter candidate information, and even automatically schedule interviews. The system integrates intelligent filtering algorithms that match candidates' resumes with relevant job openings, helping HR teams quickly identify the best fits

Users

System users include HR Partners (68%), Reviewers (30%), and Team Leads (12%). Each role interacts with the platform at different stages based on their responsibilities and level of involvement.

Prototype Test

This project followed a four-step design process: starting with mapping the user journey, then defining design goals, building prototypes, and finally conducting user testing. This helped align stakeholders early and validate design decisions efficiently.

Sorting Workshop

I facilitated a card sorting workshop to guide the team in organizing the system architecture. This approach helped align users and developers with a shared understanding, while reducing both communication overhead and development costs throughout the project.

Resume Management

Splitting resume steps into tabs sped up processing by 80%.

The resume page was restructured into tabs for all resumes, initial review, and hiring manager review. This separation clarified tasks and reduced processing errors by 80%. It also helped new HR staff learn the system 20% faster.

Interview Session Management

Interview formats and attendee counts are now clearly tracked. HR can easily view all session details and quickly check candidate info by tab.

Reviewer

Reviewers include not just HR managers, but also hiring managers from other departments. Since any employee may be asked to participate, the system offers a visual, easy-to-understand interface that requires no training—reducing their workload and streamlining the process.

Pre-Interview CV View

Some interviewers couldn’t recall all candidate evaluations during high-volume interviews, and the system offered no reminders. Notifications had to be sent manually by HR. This design integrates reminders into the system, allowing HR and interviewers to stay aligned without relying on emails or calls.

Pre-interview Memo

Interviewers can write memos directly on candidate profiles while reviewing resumes, making it easy to reference during interviews. This feature addresses the common issue of scattered personal notes, whether recorded on tablets or notebooks, ensuring nothing gets lost in translation.

HR Team Lead

The HR review supervisor is very important as the final checker in the HR system. The process is simple but needs careful filtering of good and bad items. In the old system, reviewing one case meant opening extra tabs, and sometimes resumes had to be checked in another system, making too many tabs and hard to read. The new system combines resume viewing and better filtering to help supervisors finish their work more easily.

Visualizing Candidate Approval Progress

Clear tabs separate candidates with issues in their approval process.

After candidates are hired, many approval steps like confirmations, offer details, and reporting times must be handled. To avoid staffing gaps, HR supervisors regularly monitor each hire’s status. The old system required many tabs to view information. The new system splits hires into two main tabs, allowing supervisors to switch quickly and see cases needing attention with clear progress visualization.

OFFER Approval Confirmation

Check if the OFFER content is accurate and error-free.

Previously, without a secure system in place, OFFER approvals were done via paper documents, wasting both time and paper. The new system introduces electronic signatures to speed up the approval process.
